Shipping Receiving Supervisor Job Number: xxxx97 Category: A - Immediate/Urgent Need Description: To oversee all shipping and receiving and to ensure that the department is run efficiently using the most cost effective means Statement of Major Responsibilities: • Responsible to support Team Leader(s) ensuring daily requirements are met while maintaining high standards of quality in a safe working manner • Responsible to guide, train and direct Team Leaders by giving clear direction (Key Result Areas) taken from the Team Steering Committee’s Plan without taking ownership by getting indirectly involved • Responsible for stimulating the problem-solving processes by empowering and motivating others to make improvements – highlighting opportunities/possible solutions (dropping seeds) • Responsible for ensuring all resources are effectively utilized to maximize all value-added activities that support the overall Steering Committee’s Business Plan with high emphasis on customer satisfaction • Ensures all employees have been given the necessary tools to perform duties, i.e. personal protective equipment, small tools etc. and completes requisition forms as required for such tools. • Responsible to report to Assistant General Manager, Production Control Manager or designate on all teams’ continuous improvement projects as per Lean Measurables stated • Responsible to conduct quarterly development reviews for all direct reports clearly stating each person’s major duties and responsibilities, main objectives, direct customers (interior and exterior), including areas requiring improvement/development • Responsible to prepare and monitor departmental budgets and capital requirements • Responsible to actively participate in APQP team activities, and feasibility commitment teams as required. • Distributes all work in a fair and equitable manner. Evenly allocates overtime and manages all vacation requests taking into consideration customer requirements. • Oversees the timely deliveries and pick-ups of parts/components including all painted and washed parts. • Ensures all shipping and receiving records are maintained, including files for incoming and outgoing materials and products. • Sources trucking companies that help reduce cost while still meeting customer demands. • Approves trucking invoices for all trucking companies used by Client • Provides training to new/existing employees within department. • Provides Engineering department with expertise when designing new packaging, i.e. how many parts can fit in container, cost of shipping etc. • Oversees and assists in maintaining of storage, shipping and receiving areas ensuring they are kept clean, safe and tidy. • Cooperates with the Safety Committee and adheres to all plant safety rules and regulations. • Maintains positive employee relations and addresses issues in timely manner. Seeks advice/counsel from appropriate sources as required. • Any other reasonable request made by management. • Contributes to a safe, clean and comfortable work environment that complements the Occupational Health and Safety Act by ensuring the principles of the 5S discipline (simplify, separate, sanitize, standardize and support) are supported and adhered to. • Ensures he/she is in full compliance with the laws of Ontario and/or any other province or state, while representing Client or during the use of any Client provided equipment. Safety Responsibilities: • Performing workplace inspections • Conducting information sessions (i.e. safety talks, staff meetings, pre-shift meetings) • Conducting incident investigations • Conducting employee training • Correcting substandard acts or conditions • Commending employee health and safety performance • Performing employee safety observations • Complying with Section 27 of the Occupational Health and Safety Act Mentoring, training, instruction and material are provided to help each employee comply with their safety responsibilities. Skills: • Effective communication skills, both written and verbal • Completion of Basic training modules (15) as required • Completion of Leadership training modules (12) as required • Good planning and organizational skills to accomplish daily activities • Computer skills, i.e. Microsoft Word, Excel, Email • Ability to negotiate and persuade suppliers/customers Knowledge: • High School Diploma or equivalent work experience • Valid forklift license or 10 years forklift experience • Minimum five (5) years automotive/shipping experience • Sound knowledge and understanding of lean manufacturing process • Understanding of TSxxxx9/ISO xxxx1 requirements • Sound understanding of WHIMS (Work Hazardous Material Information Systems) • Sound understanding of bar code label printing and scanning technology Judgment: • Determining packaging material to be used in replacement when supply depleted • Evenly distributing overtime to departmental employees • Deciding which customer is to receive shipment if supply to demand cannot be met • Determining best routing for Client Inc. responsible truck pickups and deliveries Accountability: • Developing and administering departmental budget • Ensuring that customer receives the correct quantity of the right product at the right time • Ensuring that the cost of trucking is maintained within budget or less Contacts: • Employees in the Production Control, Production and Engineering, Quality, Tool Room, Maintenance, Human Resources and M.I.S. departments. • Suppliers, i.e. Trucking companies, Paint shops • Customers Requirements: Belcan is a leading provider of qualified personnel to many of the world's most respected enterprises.
